interfaces are customisable and unique to individual clients.
FileTrak® has been used by Squirrel for over 12 years and is an essential part of their document
tracking software used for collections, deliveries, billing and all other services.
All customers have their own log in details and permission levels. Squirrel provides software
training and ongoing support to every customer that uses FileTrak®.
There is also Online help, FAQ pages and a telephone hotline for enquiries. At Squirrel we are always
looking to upgrade our customers' services and support. To do this, customer feedback is used regularly to stay up
to date with the current legislation and compliance standards.
FileTrak®
FileTrak® is our web based document tracking system. FileTrak® users can search their own database,
check the history of any item, request an item online, request flat packs or shredding sacks, arrange collections, input
their own documents, and run reports.
As a file retrieval specialist, Squirrel has invested significant sums to develop FileTrak® and our
internal processing systems to use state of the art handheld and bar-coding technologies. Our record in high volume retrieval
and collection services is exemplary and we lead the way in our commitment to the consistent delivery of outstanding service
levels.
In addition, FileTrak® allows the user to view a scanned image online, or arrange for a file to be scanned
on demand; in either case, the user gets the convenience of almost instant information when waiting for a hard copy delivery
is not an option. Squirrel provides training and support in all its archive-related online technologies.
Many of our clients enjoy using our
scan on demand facility that can enable individually archived documents
or files to be viewed by users within a few hours of their request.
More on FileTrak®
FileTrak® is used by Squirrel as the platform for Document Management and Tracking, Warehouse Management,
Invoicing, Destruction, Digital Imaging and all aspects of Management Reporting.
Each item received for storage is entered on an individual FileTrak® database relating to the dept/branch
etc. All items are checked upon receipt and the relevant information criteria from the item are input onto the database within
24 hours. All items are barcode controlled and are individually tracked and time stamped to and from their storage locations.
Recent enhancements to FileTrak® include the ability for clients to add new and amend existing fields of
information relating to files/ boxes that are already in-store along with the ability to add new items to the system via a
secure internet link. Clients can also request the imaging of in-storage documents for viewing online (scan on demand) without
the need for software installations and the use of client servers for hosting images.
FileTrak® is an incredibly versatile product allowing individual clients to configure their accounts to
allow sophisticated of stuff to be done.
Each department storing archive material is allocated its own individual FileTrak® department within the
database and a charging plan.
Each item received for storage is allocated its own storage location and is recorded on the database using the
agreed criteria from its owning department.
Each item is date/time-stamped with destruction dates where applicable.
Management data from FileTrak® is available in any format detailing information such as Destruction due
dates, when received, last date retrieved, who retrieved, dept ref etc.
A whole host of indicators are tracked and analysed and we are more than happy to show YOU the level of detail
at which we operate. We believe that if we perform efficiently (by getting it right first time, every time) then that results
in a more streamlined and cost effective service for our clients and less time and resources are needed to rectify problems.
We do this by focusing on preventative action measures and by thorough and careful planning of our operations. All of our
KPIs are reviewed at board level on a monthly basis.
